- Search Google Calendar Events
1. Create a New Event Quickly
Create a new event quickly, using a shortcut. You know how much I love shortcuts to save time. From either your Chrome browser or Safari, simply type google calendar. new into the browser bar, and blamo a new tab with a blank calendar event is launched. This will open a new event tab for whichever account you’re logged into by the way, so if you have multiple Google accounts, keep that in mind. Now you might think that browser bar shortcut looks familiar, and you’d be right. I’ve shared a similar shortcut before in another article, that shows you how to do this for docs, slides, and sheets as well. Now onto Google Calendar.
2. Add Invisible Events
This is particularly helpful if you share your google calendar with others, but you want to create an event only visible to you. From your Google Calendar, click to create your event. Once you’ve titled it whatever you want, head to this visibility section here – it’s the section with your calendar name. Click on that, and set your availability to free, then set your default visibility to private. Setting the event availability to ‘free’ ensures that a particular time slot is still shown publicly as available. It’s just you that sees your 15-minute stretch session, or whatever it is you want to do in private, no judgment. 3. Change the Default Event Reminder Time and Notification Type
You can easily change these by heading to your settings. Head to the gear icon and select ‘settings’. From here, select your calendar under the ‘settings for my calendars’ option. Scroll down, and under event notifications, click ‘add notification’ if you don’t have that set up yet, then from here, you can adjust the default time and type of notification. So if you rather receive an email, you could choose that here, as well as whatever number of either minutes, hours, days, or weeks. By the way, any changes you make here will be auto-saved for you.

4. Receive Daily Agenda Email
This is one I’ve talked about before and I use, but it is worth mentioning again, especially if you have a lot going on and you want a quick preview of your day. So to do this, we are going to head back to our settings section in Google Calendar. And, again, you want to select your calendar from the left hand side. Then either scroll down, or just select event notifications. Here, under other notifications, right where it says ‘daily agenda’, make sure this is set to email. Now you’ll receive an email first thing in the morning, I think it’s 5 am, with your schedule for that day. Here’s an example of one of those emails.
5. Search Google Calendar Events
If you’ve got a terrible memory like me and need to quickly bring up a past event or even look for one you know is coming up, this little tip is money. From your Google Calendar, click the search icon in the top right. A search bar appears at the top, which sure, that’s great and all, but if you click the arrow in the right of the search bar, you’ll bring up all kinds of advanced search options. So, you can search in all active calendars, or select a specific calendar to search in. You can add keywords from the event title, other participants, where the event was, or even rough date outlines, so if you know it happened in 2020 but you can’t remember when you could add that here. Then just hit ‘search’ and Google Calendar will bring up any and all events that match those search criteria. Now I want to hear from you. What are your favorite Google Calendar productivity tips?
